The problem

What breaks when signatures are left to individuals

01

Disclaimers drift

FINRA 2210, SEC marketing rule, and MiFID II disclosures get pasted by hand and mutate across teams. One outdated line is one finding.

02

No audit trail

When a regulator asks who changed the disclaimer and when, screenshots of Outlook settings are not an answer.

03

Shadow marketing

Advisors add taglines and links. Without approval workflow, every mailbox is an unreviewed channel.

How it works

From policy to every mailbox

Locked disclaimerApproveM365 · Google · HRISEvery mailbox on-brand
Policy once · deploy everywhere · measure what the outbox actually does
  1. 01

    Lock the supervised block

Compliance owns the disclaimer and layout once. Advisors cannot edit locked regions — enforcement is server-side, not hidden UI.

  2. 02

    Route member edits

Anything still editable goes through designated approvers before it reaches a mailbox.

  3. 03

    Prove it at exam time

Export the year-long audit log: actor, action, target, timestamp — ready for supervision and vendor reviews.

Capabilities

What OwnSig puts under control for finance

Locked, versioned disclaimers

Admins set the disclosure once. Individuals cannot edit it. Every change is captured with actor and timestamp.

Approval workflow

Member edits route to compliance-designated approvers before anything deploys.

Data residency

Enterprise Sovereign pins employee data to the required jurisdiction — including per-employee pinning for cross-border teams.

No mail rerouting

Deploy through native Microsoft 365 and Google Workspace APIs. Supervision, journaling, and retention stay untouched.

Trust & compliance

Built for FINRA, SEC, and MiFID II environments

Role-based access, server-side enforcement, a one-year exportable audit log, per-employee residency, and click analytics that store no recipient personal data. Control documentation is available for vendor risk reviews.

Case study · Broker-dealer / RIA

A 2,400-advisor broker-dealer made its signature an examinable control

Facing a FINRA examination cycle with disclosures maintained by hand across a dozen offices, Meridian moved to a single approved disclosure library with continuous drift detection and a tamper-evident change history — turning 'we think the notice went out' into 'here is proof.'

Financial Services — frequently asked

Can we lock disclaimers so advisors can't change them?
Yes. Disclaimers live in admin-managed templates; per-feature RBAC stops individuals from editing them, and enforcement is server-side.
Does OwnSig route or store our email?
No. Mail never passes through OwnSig. Signatures deploy via Microsoft 365 and Google Workspace native APIs.
Is there an audit trail for signature changes?
Every administrative and signature change is written to an audit log with actor, action, target, and timestamp — retained one year and exportable.
Can EU-based employees' data stay in the EU?
Yes. Enterprise Sovereign includes per-employee residency pinning, so EU staff data stays in the Frankfurt cell even when the firm's home region is the US.
How does click tracking work with recipient privacy rules?
Tracking is server-side with no pixels by default: no cookies, no IP storage, no recipient identifiers. Optional open tracking is off by default and bot-filtered when enabled.
